CAPSULE ERP (“CAPSULE”, “we”, “our”, or “us”) provides business management, customer communication, CRM, social inbox, inventory, sales, order management, automation, and related services.

This Privacy Policy explains how we collect, use, store, and protect information when businesses and their authorized users use CAPSULE ERP.

Information we collect

Depending on the features and integrations a business enables, CAPSULE may process:

• Account information such as name, email address, company name, role, and login information.
• Business information entered into CAPSULE.
• Customer, lead, order, product, booking, inventory, sales, and operational information provided by the business.
• Information received through connected third-party services, including social-media platforms and business tools.

Instagram and Meta data

When a business connects an Instagram or other Meta account to CAPSULE, CAPSULE may receive and process information permitted by the business during authorization, including:

• Instagram professional account identifiers and profile information.
• Direct messages and conversation information.
• Comments and replies.
• Media or post information associated with conversations or comments.
• Access tokens and authorization information required to maintain the connection.

CAPSULE does not request or store a user’s Instagram password. Authentication takes place directly through Meta or Instagram.

We use this information to provide features such as the Social Inbox, customer communication, conversation history, CRM records, follow-up workflows, reporting, and other functions specifically enabled by the business.

How we use information

We may use information to:

• Operate and provide CAPSULE ERP.
• Display and manage messages, comments, customer enquiries, leads, orders, and related business activity.
• Synchronize information from connected services.
• Allow authorized users to respond to customers.
• Provide automation, analytics, reporting, and AI-assisted features when enabled.
• Maintain security, prevent abuse, diagnose technical issues, and improve our services.
• Comply with applicable legal and regulatory obligations.

Third-party integrations

CAPSULE allows businesses to connect third-party services such as Meta, Instagram, Facebook, and other supported platforms.

Data received from these services is used according to the permissions granted by the business and the functionality enabled in CAPSULE.

Use of information received from Meta APIs is also subject to applicable Meta Platform Terms and policies.

Access tokens and credentials

OAuth access tokens and other integration credentials are stored securely and are not exposed to ordinary users. CAPSULE uses these credentials only to provide authorized integrations and related features.

Data sharing

We do not sell personal information.

We may share information with service providers that help us operate CAPSULE, such as hosting, infrastructure, communications, security, analytics, and payment providers, where necessary to provide the service.

We may also disclose information where required by law or necessary to protect our legal rights, users, or services.

Data retention

We retain information for as long as reasonably necessary to provide CAPSULE services, meet contractual or legal requirements, resolve disputes, and maintain appropriate business records.

A business may disconnect an integration at any time. Disconnecting an integration prevents CAPSULE from obtaining new information through that connection, subject to platform and technical requirements.

Businesses may also request deletion of their account or associated data, subject to legal and contractual retention requirements.

Data security

We use reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, loss, misuse, alteration, or disclosure.

Your rights and choices

Depending on your location, you may have rights relating to access, correction, deletion, portability, objection, restriction, or withdrawal of consent.

Businesses can also manage or disconnect supported integrations from within CAPSULE.

Data deletion requests

Requests relating to deletion of CAPSULE account data or information received through connected services may be submitted through our data deletion page or by contacting us.

Children

CAPSULE ERP is intended for businesses and is not designed for use by children.

Changes to this Privacy Policy

We may update this Privacy Policy periodically. The revised policy will show the date of the latest update.
